These Terms of Service ("Terms") govern access to and use of StaffSync AI, a software-as-a-service platform for CNA staffing coordination. By accessing or using the service, you agree to these Terms on behalf of yourself and your organization.
Service description
StaffSync AI helps skilled nursing and long-term care facilities manage CNA rosters, track call-offs and open shifts, and coordinate coverage workflows—including optional SMS notifications to opted-in staff. Features may evolve over time; we may add, modify, or discontinue functionality with reasonable notice when practicable.
Accounts and eligibility
- Access is limited to authorized staffing coordinators and administrators at participating facilities.
- You must provide accurate account information and keep credentials confidential.
- You are responsible for all activity under your account and for ensuring users comply with these Terms.
User responsibilities
When using StaffSync AI, you agree to:
- Enter and maintain accurate facility and CNA information, including SMS opt-in status where text messaging is used.
- Use the service only for lawful staffing and workforce coordination purposes.
- Obtain any required consents before storing CNA contact information or sending SMS messages.
- Not attempt to access data belonging to other facilities, reverse engineer the platform, or interfere with service operation.
- Comply with applicable healthcare, employment, privacy, and telecommunications laws.
Acceptable use
You may not use StaffSync AI to transmit spam, harassing content, or messages unrelated to staffing. You may not upload malicious code or use the service in a manner that violates third-party rights or applicable regulations.
Service availability
StaffSync AI is provided on an "as available" basis. We strive for high uptime but do not guarantee uninterrupted or error-free operation. Scheduled maintenance, third-party outages, and events outside our reasonable control may affect availability. The service is not a substitute for your facility's official staffing policies, emergency procedures, or regulatory compliance programs.
Data and privacy
Our collection and use of information is described in the Privacy Policy. You retain responsibility for the accuracy of roster data and for honoring CNA communication preferences.
Intellectual property
StaffSync AI, including its software, branding, and documentation, is owned by us or our licensors. These Terms grant you a limited, non-exclusive, non-transferable license to use the service for your internal business purposes during your subscription or authorized trial.
Disclaimer of warranties
TO THE MAXIMUM EXTENT PERMITTED BY LAW, STAFFSYNC AI IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT SHIFT COVERAGE WILL BE ACHIEVED OR THAT SMS MESSAGES WILL BE DELIVERED WITHOUT DELAY.
Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, STAFFSYNC AI AND ITS OPERATORS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, DATA, GOODWILL, OR BUSINESS INTERRUPTION, ARISING FROM YOUR USE OF OR INABILITY TO USE THE SERVICE. OUR TOTAL LIABILITY FOR ANY CLAIM ARISING OUT OF THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE AMOUNT YOU PAID US FOR THE SERVICE IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR ONE HUNDRED U.S. DOLLARS ($100) IF NO FEES WERE PAID.
Termination
We may suspend or terminate access for violation of these Terms, security concerns, or non-payment. You may stop using the service at any time. Provisions that by their nature should survive termination—including disclaimers, limitations of liability, and governing law—will remain in effect.
Changes to these Terms
We may update these Terms periodically. Updated terms will be posted on this page with a revised date. Continued use after changes constitutes acceptance.
