StaffSync AI connects facility coordinators, CNA rosters, and optional SMS alerts so open shifts get filled faster.
StaffSync AI is a staffing coordination platform built for skilled nursing and long-term care facilities. Coordinators manage rosters, record call-offs, and track open shifts—while opted-in CNAs can receive text alerts when coverage is needed.
1. Set up your facility roster
Authorized coordinators sign in and manage CNAs for their assigned facility. Each roster entry includes contact information, shift preferences, employment status, and SMS opt-in settings. Data is scoped so coordinators only see staff at their own location.
2. Record call-offs and open shifts
When a CNA calls off, coordinators log the event on the dashboard. StaffSync AI tracks the resulting open shift, unit, shift type, and priority so your team has a single view of coverage gaps across the facility.
3. Notify eligible CNAs
For open shifts, the platform identifies CNAs who are active, opted in to SMS, assigned to the facility, and available for the shift type. Coordinators can trigger staffing notifications so eligible CNAs are alerted about available coverage opportunities.

4. Accept shifts and fill coverage
CNAs can respond to shift offers— including via secure accept links when SMS workflows are enabled. When a shift is accepted, the dashboard updates to show filled status and assigned staff, giving coordinators real-time visibility into coverage progress.
5. Monitor staffing at a glance
The dashboard summarizes open shifts, recent call-offs, coverage requests, and key staffing metrics. Coordinators can switch between dashboard and roster views without leaving the application.
